Aliasing before AI
Before any text is sent to an AI model, Sygnyfy replaces personal data with aliases:
- Names of people and companies become placeholders such as PERSON_1 and COMPANY_1.
- Email addresses, phone numbers, street addresses, profile links, card numbers, government ID numbers, and dates of birth are replaced too.
The model only sees the placeholders. When results come back, Sygnyfy puts the real values back, so you review evidence with the real names. The analysis on each conversation shows how many names were replaced.
People and companies already in your Sygnyfy records are always recognized. Other names are detected by pattern and are best effort, so adding your customers' contacts improves the results. Please don't paste special categories of personal data, such as health or financial account information, into transcripts.
AI models are provided by Anthropic and, as a fallback, OpenAI. Neither trains on your data. See the Privacy Policy and Subprocessors.
Emails to your customers
On the Max plan, a person on your team can email a customer report when a release ships. Sygnyfy sends it to the customer's contact email only when someone chooses Send, never automatically. Every report has an unsubscribe link, and Sygnyfy stops sending to addresses that unsubscribe, bounce, or are marked as spam. See Release management.
Exporting your data
Owners and admins can export everything from Settings, Data export:
- JSON: one file with every record and its fields.
- CSV archive: a ZIP with one CSV file per record type, ready for a spreadsheet.
Deleting records
Admins can delete records they no longer need. Deleting a conversation deletes its transcript.
Deleting your organization
The owner can delete the organization from Settings, Organization, Danger zone. This cancels the subscription and removes everyone's access right away. All data, including transcripts and uploaded files, is permanently deleted after 30 days. If you deleted it by mistake, email support@ic5labs.com right away.
